Ottermind Data Deletion and Account Closure

How to disconnect services, delete Ottermind data, cancel a subscription, or close your account.

This guide explains how to disconnect a third-party service from Ottermind, what happens to the associated authorization and connected service data, and how to request deletion of other Ottermind data or closure of an Ottermind account.

This guide forms part of Ottermind's privacy disclosures and should be read together with our Privacy Policy and Terms of Service.

1. Your Deletion Options

The following actions have different effects:

  • Disconnect a connected service: Stops Ottermind's access, deletes the associated token, and removes any separately held source data from that service. Related Ottermind tasks, conversations, and results remain until you delete them.
  • Archive or delete Ottermind content: Archived tasks and conversations can be restored. Permanently deleted content cannot be recovered.
  • Close your Ottermind account: After you cancel an active subscription, you can delete your account through account settings. Sign-in is disabled immediately after you confirm deletion, and account data is deleted from active systems within one to three days, subject to limited legal exceptions.
  • Cancel a subscription: Stops future subscription renewal but does not, by itself, disconnect integrations or delete an Ottermind account.

2. Disconnecting a Third-Party Service

You can disconnect a supported third-party service through Ottermind's connector or integration settings.

When you disconnect a service in Ottermind:

  1. Ottermind stops accessing the connected service.
  2. The access token, refresh token, API credential, or other Authorization Data associated with that connection is deleted.
  3. Ottermind does not retain a separate copy of source data obtained from the connected service.
  4. The connector can no longer retrieve data or perform actions through that account unless you connect and authorize it again.

Tasks, conversations, and results created in Ottermind while the connector was used are not automatically deleted when you disconnect the connector. You can archive or permanently delete eligible tasks and conversations through Ottermind's content controls.

This applies to supported connections such as Google, Slack, Notion, Linear, Instagram, Shopify, Asana, ClickUp, monday.com, HubSpot, Intercom, Stripe, and other services made available through Ottermind.

Disconnecting a service does not delete data held independently by that third-party service. To delete information from the third-party service itself, use that service's controls or contact its provider.

3. Data Deleted When a Connector Is Disconnected

The deletion associated with disconnection covers data held separately by Ottermind to operate that connection, including, where applicable:

  • OAuth access tokens and refresh tokens;
  • API keys or other stored connection credentials;
  • account and connection identifiers used to operate the connector;
  • separately held messages, emails, files, calendar events, contacts, records, transactions, and other source content retrieved from the connected service;
  • cached or synchronized copies of connected service content;
  • connector-specific state used to continue access or synchronization.

Ottermind does not maintain separate connector indexes, embeddings, or similar stores of connected service data. However, tasks, conversations, and results generated at your request while using a connector remain part of your Ottermind content after disconnection. They remain until you permanently delete them or delete your account.

Ottermind may also continue to retain data unrelated to the connected service, such as your account information, subscription information, independently provided content, and security or service records that do not contain the connector's token or separately held source content.

4. Revoking Access Through the Third-Party Provider

Many providers allow you to revoke Ottermind's access through their own security or connected-app settings. Revoking access through the provider makes the authorization unusable and prevents further API access. However, Ottermind cannot rely on receiving notice of that revocation, so the connector may continue to appear connected in Ottermind.

To delete the stored Authorization Data and update the connector's status, also disconnect the integration through Ottermind. If you cannot access the disconnection control, contact support@ottermind.ai.

5. Google Account Data

You can disconnect Gmail, Google Calendar, or Google Drive through Ottermind's connector settings.

When you disconnect a Google connector in Ottermind:

  • Ottermind stops accessing the relevant Google service;
  • the OAuth tokens associated with the connection are deleted;
  • Ottermind does not retain a separate copy of source Google user data obtained through the connector; and
  • access cannot resume unless you complete a new Google OAuth authorization.

Tasks, conversations, and results created in Ottermind using Google user data remain in your account until you permanently delete them or delete your account.

You may also revoke Ottermind's access from your Google Account's third-party access settings. This prevents further access, but Ottermind may not receive notice of the revocation. Disconnect the connector in Ottermind or contact us to delete the stored token and update the connector's status.

Ottermind's use and deletion of Google user data is governed by our Privacy Policy and the Google API Services User Data Policy, including the Limited Use requirements.

6. Deleting Ottermind Content

You may archive or permanently delete eligible tasks, conversations, and other supported content through the Services.

  • Archiving removes the content from your active view but allows you to restore it later.
  • Permanent deletion removes the content and cannot be undone or recovered through the Services.

Deleting Ottermind content is different from disconnecting a third-party service. If the relevant content was obtained through an active connector, disconnecting that connector also stops future access and deletes data associated with the connection as described above.

If a deletion control is unavailable or does not cover the data you want deleted, contact support@ottermind.ai and identify the account and data concerned. Do not send passwords, access tokens, API keys, or other authentication secrets in your request.

7. Closing Your Ottermind Account

You can delete your Ottermind account using the deletion button in account settings. If you cannot access your account, contact support@ottermind.ai.

You must cancel any active subscription before deleting your account. We may ask you to verify your identity before processing an account-deletion request.

After you confirm account deletion, sign-in is disabled immediately and you can no longer access the account, its content, or any remaining credits. Ottermind deletes the account and its associated personal data, tasks, conversations, files, results, settings, memory, and connector information from active systems within one to three days. Account deletion cannot be undone.

Deleted account data may remain in protected backups for up to 60 days before scheduled overwrite or secure deletion. Backup data is not available through the Services and is used only for disaster recovery, security, and service continuity during that period.

Limited billing, tax, accounting, payment, fraud-prevention, security, dispute, or legal records may be retained where necessary or required by law. These records are not used to provide ordinary product features or advertising.

Before deleting your account, export any information you are entitled to keep, cancel your active subscription, and disconnect connected services if you want their status updated before account deletion.

8. Cancelling a Subscription

Cancelling a subscription stops future renewal at the end of the current subscription period. It does not, by itself:

  • delete your Ottermind account;
  • delete tasks, files, conversations, or other user content;
  • disconnect a third-party service; or
  • submit a privacy or account-deletion request.

Unless applicable law or the relevant billing terms provide otherwise, cancellation does not automatically refund amounts already paid for the current billing period. Subscription credits remain available until the current subscription period ends.

If you delete your account after cancelling the subscription, remaining credits are not immediately removed from billing records but become inaccessible as soon as account deletion is confirmed and sign-in is disabled.

Subscription and payment records may be retained where needed for billing support, accounting, tax, audit, chargebacks, fraud prevention, dispute resolution, and compliance with law.

9. Data That May Be Retained After Account Closure

Ottermind may retain limited information after account closure where necessary and permitted by law. Depending on the circumstances, this may include:

  • invoices, payment confirmations, transaction identifiers, and tax or accounting records;
  • records needed to manage refunds, chargebacks, billing disputes, or payment fraud;
  • security, abuse-prevention, access, and incident records;
  • records necessary to establish, exercise, or defend legal claims;
  • records required by a court, regulator, law-enforcement authority, or other applicable legal obligation; and
  • deleted account data held in protected backups for up to 60 days pending scheduled overwrite or secure deletion.

Information retained for these purposes is restricted to the relevant purpose, is not used to provide ordinary product features or advertising, and is deleted or de-identified when the applicable retention requirement ends.

These account-level retention exceptions do not change the connector-disconnection process described in Sections 2 and 3: after a connector is disconnected through Ottermind, Ottermind does not retain the connector's token or data obtained from that connected service.

10. Processing a Deletion Request

To submit a deletion request, email support@ottermind.ai from the email address associated with your account and describe the data or account you want deleted.

We may request additional information only where reasonably necessary to:

  • verify your identity;
  • identify the relevant account, connector, workspace, or data;
  • protect another person's rights; or
  • comply with applicable law.

We will process verified requests in accordance with applicable law. We may decline or limit a request where permitted by law, including where deletion would conflict with a legal obligation or affect another person's rights.

If we cannot complete a request, we will explain the reason where applicable law requires us to do so and provide information about available next steps.

11. Security and Irreversibility

Deletion may be permanent and irreversible. Before deleting content or closing an account, export or retain any information you are legally permitted to keep and may need later.

For your protection, never include passwords, OAuth tokens, API keys, payment card details, or other authentication secrets in a deletion request.
